This policy explains how we collect and use your personal information when you visit auradancestudios.co.uk, book a class through this website, or contact us. We handle your data in accordance with UK data protection law (UK GDPR and the Data Protection Act 2018).

1. Who we are

AURA Dance Studios is a trading name of James Cutler Dance Ltd, a company registered in England and Wales (company number 16261978), registered office 28–30 Lincoln Road, Birmingham, England, B27 6PA (“we”, “us”, “our”). We are the data controller for this website and for the classes and events you book through it.

Booking on this website is provided by Studio Pilot (thestudiopilot.app), our own dance-studio booking platform, which is also operated by James Cutler Dance Ltd — so your data stays with the same company.

2. What this policy covers

This policy covers this website and bookings made through it. If you use the AURA Dance Studios mobile app, the same company and the same protections apply; the app has its own policy covering app-specific features.

3. Information we collect

If you simply browse the website, we collect only limited technical information needed to serve and secure the pages, plus whatever you allow through cookies (see section 6).

If you book a class or event, we collect:

  • Your details — name and email address, and optionally a phone number.
  • People you book for — the name of each person, whether they are an adult or a child, and for children a date of birth. You may optionally add an emergency contact and any medical notes you want our teachers to know about (for example an allergy).
  • Booking and attendance history — the classes and events you book, who each booking was for, and whether attendance was recorded.
  • Payment information — payments are processed by Stripe. Your full card details go directly to Stripe and are never stored on our systems. We keep a record of the amount, date and status of each payment.
  • Memberships and gift vouchers, where you buy them, including their status and billing history.

If you contact us or sign up for our newsletter, we collect the name, email address and any other details you choose to give us.

4. Children’s information

Accounts and bookings may only be made by an adult aged 18 or over. Where a child’s details are provided, they are supplied by the parent or guardian making the booking, who confirms they have authority to provide them.

We use a child’s date of birth to place them in the right class for their age. We do not create accounts for children and we do not send marketing to children. If you would like a child’s information removed, contact us using the details above.

Where we publish a photograph of a child on this website or on social media, we obtain consent from a parent or guardian first.

5. How and why we use your information

  • To take and manage your bookings, and to take payment for them.
  • To record attendance and run our classes safely on the day, including acting on any medical information or emergency contact you have given us.
  • To send you booking confirmations, reminders, and notice of any change or cancellation to a class.
  • To answer enquiries you send us.
  • To send you news and offers, where you have asked us to.
  • To understand how our website and classes are used so we can improve them.

Our lawful bases are: performance of a contract (to provide the booking you ask for); legitimate interests (to run and improve the studio, and to contact you about a service you use); consent (for marketing, and for non-essential cookies — you can withdraw either at any time); and legal obligation (keeping financial records we are required to keep). Medical information is special category data, which we handle on the basis of your explicit consent, given when you choose to provide it, and use only to keep the dancer safe.

6. Cookies, analytics and advertising

We use essential cookies to make the website work. With your permission we also use analytics and marketing cookies. You choose when you first visit, and you can change your mind at any time using the Cookie settings link in the footer of every page.

Our full Cookie Policy lists every cookie we set and what it does. In summary we use Google Analytics and Google Tag Manager (to understand how the site is used), the Meta Pixel (to measure advertising — see the section below), Google reCAPTCHA (to protect our forms from spam), and Mailchimp (if you sign up to our newsletter).

7. Who we share it with

  • Our teachers and reception staff, who can see the class register and the booking, payment-status and care information they need to run a class.
  • Service providers who help us operate: Google Firebase (booking database, file storage and sign-in), Stripe (payments), Resend (booking and confirmation emails), our website host, and the analytics and advertising providers named in section 6.

We do not sell your data.

8. Where your data is stored

Our booking database and server functions run in Google’s London (UK) region. Uploaded photos and database backups are stored in Google’s European Union region. Some services — sign-in, email delivery and payments — may process limited data outside the UK. Where that happens, the transfer is protected by recognised safeguards such as UK adequacy regulations or the UK International Data Transfer Agreement.

9. How long we keep it

We keep your booking information for as long as you are a customer. Records of payments are kept in anonymised form for six years, because we are legally required to keep financial records. Newsletter subscriptions are kept until you unsubscribe. You can ask us to delete your data at any time using the contact details above.

10. Your rights

Under UK data protection law you have the right to access your data, to have it corrected, to have it deleted, to object to or restrict how we use it, and to receive a copy in a portable format. To exercise any of these, contact us at info@auradancestudios.co.uk.

You also have the right to complain to the Information Commissioner’s Office at ico.org.uk, though we would appreciate the chance to put things right first.

11. Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed, and we will give prominent notice of any significant change.

These terms govern your use of this website and the booking of classes and events through it. By making a booking you agree to them. Please read them alongside our Privacy Policy above. Nothing in these terms affects your statutory rights as a consumer.

1. Who we are

2. Using this website

You may use this website for your own personal, non-commercial purposes. Please do not misuse it — for example by attempting to access other people’s information, disrupting the service, or using it for any unlawful purpose.

The content of this website belongs to us or our licensors. You may not copy or republish it without our permission.

We aim to keep the website available and accurate, but we cannot guarantee it will always be uninterrupted or error-free.

3. Booking classes and events

  • Class and event times, availability and prices are shown when you book and may change.
  • Your booking is confirmed when you complete it and receive a confirmation. Where a class has limited capacity, your place is only secured at that point.
  • If a class is full you may be able to join a waiting list. A waiting-list place is not a booking.
  • A booking is for the specific class or event, on the date shown, for the person named.
  • You must be 18 or over to make a booking. A parent or guardian must make any booking for someone under 18.

4. Prices and payment

  • Prices are shown before you confirm a booking. Different classes and events may be priced differently.
  • Card payments are processed securely by Stripe. We do not store your full card details.
  • Where we allow you to pay on arrival, that option is shown at the time of booking.
  • Where a promotion, class pack, loyalty reward or offer applies, its conditions are shown when you use it.

5. Memberships

  • Where we offer memberships, the price, the billing period and what is included are shown before you subscribe.
  • Memberships renew automatically until you cancel. You can cancel at any time; your membership then runs to the end of the period you have already paid for and does not renew.
  • If we change the price of a membership, we will give you at least 30 days’ notice before the new price applies, and you may cancel before it takes effect.
  • If a membership payment fails, we may pause the membership’s benefits until payment is made.

6. Gift vouchers

  • Gift vouchers hold a monetary balance redeemable against our classes and events.
  • Vouchers cannot be exchanged for cash. Any other conditions are shown when you buy.
  • If a booking paid for with a voucher is cancelled and refunded, the voucher portion returns to the voucher balance.

7. Cancelling a booking, refunds and transfers

We require 12 hours’ notice before the start of a class or event for a full refund or a transfer to another date.

  • To cancel, email info@auradancestudios.co.uk before the 12-hour cut-off.
  • Refunds and transfers cannot be processed within 12 hours of the class or event starting.
  • We do not offer refunds for missed classes.
  • There is no charge for a refund or a transfer.
  • Refunds are made to your original payment method, or to your voucher balance where a voucher was used, and apply only to payments made online. Anything paid in cash at the studio is settled with us directly.

We run a friendly, flexible studio and will use discretion in individual cases — if something has gone wrong, please just talk to us.

If we cancel a class, you will be offered a transfer to another date or a full refund, whichever you prefer.

8. Your 14-day cancellation right

  • When you buy a membership, gift voucher, class pack or course, you have a legal right under the Consumer Contracts Regulations 2013 to cancel within 14 days and receive a refund.
  • If you start using it within those 14 days, you are asking us to begin the service straight away. If you then cancel within the 14 days we will refund you less a reasonable amount for what you have already used, and the right ends once the service has been fully provided.
  • This 14-day right does not apply to a booking for a specific class or event on a set date, which is a leisure-activity booking covered by the cancellation terms in section 7 above.

9. Health, safety and conduct

  • Dancing is a physical activity. You take part at your own risk and should not take part if a medical condition makes it unsafe to do so. If you are in any doubt, please seek medical advice first.
  • Please tell us about any medical condition, injury or allergy we should know about, so our teachers can keep everyone safe.
  • Please arrive on time and follow reasonable instructions from our teachers and staff.
  • We may refuse or cancel a booking, or ask someone to leave, in cases of unsafe, disruptive or inappropriate behaviour.

10. Children and guardians

  • Bookings for children must be made by a parent or guardian, who is responsible for the booking and for the information provided.
  • Please make sure a child is collected promptly at the end of their class.
  • We will ask for your consent before publishing any photograph of your child.

11. Reviews and anything you post

If you leave a review or post anything on our website or social media, please keep it honest and respectful. We may remove content that is offensive, misleading or unlawful.

12. Changes to these terms

We may change these terms for a valid reason — for example a change in the law, a new feature, or a change to how we operate. We will publish the updated terms here and change the date at the top. If a change significantly affects you and you hold a paid membership, we will give you reasonable advance notice and you may cancel before it takes effect without penalty.

13. Our responsibility to you

  • Nothing in these terms limits our liability where it would be unlawful to do so — including liability for death or personal injury caused by our negligence, or for fraud.
  • We are responsible for loss or damage you suffer that is a foreseeable result of our breaking these terms or failing to use reasonable care and skill. We are not responsible for losses that were not foreseeable, or that arise from circumstances outside our reasonable control.
  • Please look after your belongings; we cannot accept responsibility for personal property left at the studio.

14. Governing law

These terms are governed by the law of England and Wales, and any dispute may be brought in the courts of England and Wales. If you live in Scotland or Northern Ireland, you may also bring proceedings in your local courts.

Meta Pixel and Conversions API

If you choose Marketing cookies on our website, we use the Meta Pixel to measure visits and booking activity from Facebook and Instagram advertising. If you reserve a free children’s class and then separately tick the optional advertising-measurement box in the booking-confirmation email, we may also send Meta a SHA-256 hashed version of the parent email address and the class name to measure that booking. We do not send the child’s name, date of birth, phone number, medical information or booking details to Meta for this measurement. You can leave either choice unchecked and your booking will still work.
